Data contained in received emails, including consultancy requests and spontaneous applications.

Providing data is optional, but failure to do so may prevent Polline from responding to requests.

Purpose and Legal Basis of Processing

Personal data are processed for the following purposes:

Polline uses the data to respond to consultancy requests received via email. The legal basis for this processing is the execution of pre-contractual measures requested by the data subject, pursuant to Article 6(1)(b) of the GDPR.

Regarding spontaneous applications sent by users, data are processed for recruitment purposes. The legal basis for this processing is the legitimate interest of the Data Controller, pursuant to Article 6(1)(f) of the GDPR.

Polline also sends automated email replies to requests received, based on its legitimate interest to ensure efficient and timely communication with users, pursuant to Article 6(1)(f) of the GDPR.

Received emails are stored in the company database for administrative and internal management purposes, also based on the legitimate interest of the Data Controller.

Finally, data may be processed to comply with legal obligations, in accordance with Article 6(1)(c) of the GDPR.

Methods of Processing and Storage

Data processing is carried out in compliance with EU Regulation 2016/679 (GDPR) and applicable Italian laws. Polline implements appropriate technical and organisational measures to protect data from unauthorized access, loss, or alteration.

Data are retained for a maximum period of 24 months, unless legal obligations or the need for retention for legal purposes require otherwise.

I dati personali raccolti non vengono ceduti a terzi e non sono trasferiti al di fuori dello Spazio Economico Europeo, salvo l’utilizzo di provider di servizi di email hosting o cloud che garantiscono adeguate misure di sicurezza.

I dati possono essere accessibili ai fornitori di servizi IT e cloud utilizzati per la gestione delle email, ai collaboratori interni autorizzati al trattamento e alle autorità competenti in caso di obblighi legali.
